Mastering Time Wasters


We are all gifted with the same 86,000 seconds each day.  Sooooo ... how many of those 86,000 precious seconds do you waste on the following activities?  

  • Facebook, Instagram, Pinterest and whatever social media you are into
  • Excessive TV watching
  • Hours of gaming
  • Movie marathons
  • Getting or making cup after cup after cup of java
  • Shopping (online or at the store)
  • Meetings just for the sake of a meeting
  • Interruptions
  • Idle conversation
  • Too many breaks
  • Not saying "NO"
  • Drop-in visitors
  • Unnecessary details
  • Re-inventing the wheel
  • Add your own right here -> ____________________________
Do you see yourself involved in some (or all) of these activities?  Go on you can be honest.  No one knows you are reading this blog.  So your secret is totally safe.  But you aren't here for a guilt trip, are you?  You started reading this article because something about the title MASTERING TIME WASTERS hit home with you.  You are either jumping around the internet wasting time right now or at day's end you feel like you wasted your time.  So keep reading ... time to learn (maybe re-learn) something about not wasting time.

So after all, I am a systematicYOU coach and I wouldn't be me if I didn't give you a system to MASTER YOUR TIME WASTERS.  Here it goes ...

  1. For 1 week, I want you to jot down everything that you do.  From laying in bed after the alarm goes off for 15 minutes checking your Facebook timeline to watching that same Friends show for the 8th time!
  2. When 1 week is up, I then want you to break down your activities into three categories:
    • Necessary - you need to do this because either a bill will not get paid or relationship will get ruined or you will absolutely loose all your marbles
    • Emergency - plain and simple the world will stop spinning if you do not do this
    • Unnecessary - it's not necessary or an emergency
  3. Ready for you AHA moment?  Now add up how much time you spent in each of these categories.  This should help you realize how much time is going to the UNNECESSARY.  The activities under your unnecessary category are the things you are doing that WASTE YOUR TIME.  These are the things that you need to do less of or just plain avoid.
  4. Sooooo ... now here is the mastering part of this system ... ready?  You are now fully AWARE and you aren't dumb or incompetent so you will need to catch yourself when you are doing something in your UNNECESSARY category.  And little by little you will consciously need to stop doing it so that you can reduce your wasted time.  Sorry.  No magic pill here.  Just the conscious effort to do it less and actually do it less.  Yup!  It's all up to YOU!
So are up for the challenge?  Will you for one week start logging in your activities?  Will you break them down into the 3 category to help you realize what are your time wasters?  Will you ... here is the magic ... put forth a conscious effort to those UNNECESSARY activities less?

I usually enter here a brief story of how I met the interviewee but being that I am the interviewee and the interviewer, I guess you can say “we” met at birth. Hahaha!  So read on and learn why the heck I do all this for me, my family and most of all my TRIBE!
             

Let’s get to know a little about my little systematicYOU business!

What is the name of your business?
systematicYOU.
I came up with that name because the definition of systematic is “done or acting according to a fixed plan or system; methodical” and I thought that it perfectly described what my customers needed to run an effective entrepreneurial life.  I wanted something to show that YOU (my customer) can be systematic about their business and life. 

What product and/or service do you provide?
There are 3 services that systematicYOU provides:
©    Home office professional organizing
I help women who work from home get their home office space organized so they can have room to think, want to actually work at their home office and find their stuff (imagine that!) but I just do not go in and sort papers for my clients, I help my femmepreneurs implement a working system that fits their sensibilities to maintain their home office space after I am long gone.
©    Accountability support groups
Because I suffered from procrastination and other bad habits of not finishing what I started (Oh c’mon!  I know I am not alone here!), I started to host private groups and create workshops that will help my femmepreneurs have a 76% higher rate of completing their own goals because they had the needed external accountability of writing down and sharing their goals.
©    Time management training
Not everyone is born knowing how to plan out their year, month, week or even day and that is where I come in with over 25 years of planning experience!  I train my femmepreneurs a technique of planning that totally evolves around what is important in their total life!

When did your business start?
Wow!  I had to go find the date L.
The idea of systematicYOU was born on April 6th, 2014.
At 5:00AM to be exact!  It was one of those mornings that my brain was on overdrive.

Where is your business located?
My business is operated out of my home in Pembroke Pines, Florida.

What territory does your business serve?
Primarily it is currently serving women in the South East Florida (Miami-Dade, Broward and West Palm Beach) area but I also have customers all the way up to NYC (home sweet home).
Yup!  Skype and Facebook messenger allows me to connect with my ladies far away.

Who does your business serve?
My business primarily serves women entrepreneurs who have a home based business. 
My clients include makeup artists, direct sales representatives, lifestyle coaches and … well you get the picture. 
Soooo … If you are a lady working from home and your office and/or calendar are a mess, then systematicYOU serves you.  If you are lady that knows what to do but is just not doing it, then systematicYOU serves you.

What need does your product or service fulfill for your customers?
As women entrepreneurs, we can tend to get a little (no a-freaking-lot!) disorganized, cluttered and all over the place because we can have lots on our plate (hubby, kids, family, business, and the list goes on and on and on!) so being organized with our physical space, our time and minds tend to get a little wackadoodle!  So my customers NEED to get their physical space organized.  So my customers NEED to focus via accountability.  So my customers NEED to get their time right.
Yup!  Do you know anyone that NEEDS any of these?  I see you over there nodding your head.

What DIY tip about your product or service can you share with MY TRIBE?
This is the one that I share the {most} … get a CALENDAR!  In that calendar (paper or electronic) jot down appointments, important dates, ideas, tasks, chores, client follow-ups, meal plans.  Yup!  Get it out of your head.  It can get very crowded in that brain of yours.  By doing this one thing, you will

©    Be more focused
©    Be in control
©    SEE that you are working on what is really important
©    No forgotten appointments, calls or date nights
©    No lost ideas
Yup!  You will lose that I-LOST-MY-MARBLES sensation ladies! 
I use a paper planner so here is one more hint.  Do not torture yourself trying to be high techie techie with fancy productivity apps if you enjoy the feeling of paper to pen!

Let’s get to know a little about me, Tabby!

Who is in your support system?
My kids and husband.  They give me the freedom to go do me!

How did you get bitten by the entrepreneurial bug?
Back in 2006, I started off in direct sales with pots, stones and food choppers.  I did it to load up my kitchen with the cooking “stuff” that I could not afford.  I found out that I could make money doing something fun!  Granted I spent it all back then on kitchen stuff but whaaaat!?  It totally opened up my eyes to a different way of making a living.  I could now make a LIFE!

What is your biggest success up until now?
Learning to focus on what matters!  While I was trying to start systematicYOU, I was still a locket lady.  I was burning the candle on BOTH ends.  After almost running on empty, I sat down and assessed what did I really value most?  Then I needed to figure out what to focus on based on those values.  The values that I found mattered were my kids, my husband and helping women not give up on their dreams.  So it was clear right then and there that I could make more of impact in the lives of women with systematicYOU so all the other extra stuff just fell off my radar.

What has been your biggest challenge?
It continues to be a challenge but I will strive to improve daily … (inhale)  here it goes.  I am networking challenged!  I am all funny and sh^t once I know you but to get out there and meet new peeps is just not easy for me.  I have always been the type to sit back and observe and guess what?  You can’t do that at a networking event.  You gotta jump right in.  So I am trying to adopt a mindset of “doing it scared”.  So wish me luck!

Any funny stories you want to share so other ladies don't feel like it only happens to them?
I still work a day job; therefore, at times I need to go to an event right after work.  On those days, I try to dress a little bit more carefully.  I also need to eat dinner while driving to my event. See where this is going?  After spending a full day at the “farm” (my nickname for my 9 to 5), I was careful to not get dirty or even touch my face makeup.  Not an easy feat!!  But let me get my hands on my drink and it spills ALL OVER my white shirt!  Yup!  Off I go to speak in front of a group of entrepreneurs with tie dye wanna-be-markings in the ever so lovely shade of diet coke.  Needless to say!  I know carry an extra shirt!  Come and get me Coke!

What is your favorite thing about humanity?
The ability to decide!  We do not have to allow others or outside influences to make our choices.  We can decide and chose to be different and do it differently!

If there was a movie produced about your life, who would play you and why?
I LOL’ed at this one.
It would have to be Lucille Ball.  Getting into hilarious mess right after one another.  If you know me long enough you can just picture me making this face …


What about being an entrepreneur do you love?
The satisfaction of looking at things like my website, my customer testimonials and my services and puff my chest out some because I DID THAT!  It didn’t exist until I made it happen!!
Oh yessssss … say it with your chest!

What is your why?
My why goes beyond a person, place or even a thing.
My kids are my why.  My why is for them but more for me so that I may grow, share, love, give hope, break the chains of the past, let go and be a worthy role model to my kids.

What value does your business bring to your life?
I am redeeming my past mistakes through this adventure.  I help women get organized and focus so they will not use that as an excuse to quit on their dreams.  I have cold quit in the past and I do not want another woman to go through that resentment and loss of self-esteem.  So by helping others, I help myself heal.

How do you track your appointments & to-do's?
A paper planner!  I have tried the high techie tech apps but sitting down and writing on paper is my Zen!

What is your favorite gadget or app that others entrepreneurs might want to check out?
Canva.com  Great for making Facebook covers, email headers and other banners in the right size so you are not struggling with fit or uploading.

What social media forum has been most successful for your business?
Facebook. 

What is your best time management tip?
WRITE.  IT.  ALL.  DOWN.  IN.  ONE.  PLACE!

What are the biggest time wasters we entrepreneurs get caught up in?
Social media is a blessing because you can reach more people but all those people have loads of posts that suck you in because if you do not show self-control you just have to see the video of the two guilty doggies who ate the couch cushions.

How do you continue to meet new clients?
Referrals.  I believe in the power of my TRIBE letting the word out when they hear of someone that needs a Tabby in their life.

Wanna focus?  Then turn off those darn bells and whistles!


We live in a high techie techie world.  You've got email (how many accounts??), Facebook, Facebook group after group, Instagram, YouTube, Snapchat, LinkedIN, text messages, traffic alerts, Twitter, Candy Crush and that village that you are building with the added pigs on the side and it doesn't stop there ... this list of electronic contacts goes on and on till the break o'dawn! #bebopwithme Now each one of them DEMANDS your attention right there when it wants to right then and there but guess what?  You fall for each bell and whistle that your laptop, tablet, smart phone and now smart  watch has when it goes off just like a baby when you tell them "I got your nose".  You know it, you hear or see that alert, you get a nervous twitch, the sweaty palms and you cannot focus until you see what it is because it beeped at you and you have conditioned yourself to respond.  Do you remember being small and you were out?  You waited to get home to make a call.  You waited to get home to write a later.  You waited to get home to play a game.  You waited!!!!!!!!!!

Well it is time to take control of what you want to pay attention to when you want to do it!!!  What?!  You are saying to yourself, "I can do that?"  Why yes!  Yes you can!

Each one of those apps, software, social media links has a .... ready? .... a way of turning off the notifications.  So go on ... dare to go to the setting of each one and turn off those freaking notifications.  Let yourself look in your high techie techie device for what is new when YOU ARE READY and not when it tells you it needs attention.  Let yourself go and watch that sleeping puppy video when it really is downtime and not when you are supposed to be calling a customer or paying attention to your son's winning game shot!

TAKE CONTROL BACK!  Trust me.  It will allow you to focus on what matters.  Try and let me know how it is working for you.

Beauty Beyond Lashes ~ Younique
Her name has true significance.  Younique is known for their mascara but she wants everyone to know that her beauty products go beyond mascara.  It relates to the woman herself!

Our mission is to uplift, empower, validate, and ultimately build self-esteem in women around the world through high-quality products that encourage both inner and outer beauty and spiritual enlightenment while also providing opportunities for personal growth and financial reward.

April 1st 2014

Where is your business located?
Based out of Weston, FL and the World Wide Web.

What territory does your business serve?
The United States, including Puerto Rico, Canada, New Zealand, Australia, UK and soon to be serving both Germany and Mexico.

Who does your business serve?
Anyone who seeks our mission, looking for high quality naturally based skin care and makeup products for every day or a special occasion. Also anyone looking for financial reward. I personally cater towards busy moms just like me!

What need does your product or service fulfill for your customers?
Our skin care and makeup fulfills the need to feel beautiful, to uplift and ultimately build self-esteem. Whether it's clearer skin, diminishing the apparent signs of aging, or enhancing their eyes with our most popular product, 3D fiber lash mascara. Our business opportunity has the ability to fulfill their financial need.

What DIY tip about your product or service can you share with MY TRIBE?
To give your eyes that pop, making them look more open and awake use white liner on your bottom eye lid water line and add 3D mascara of course.

Who is in your support system?
I would say my husband, my mom and my oldest daughter and you!

How did you get bitten by the entrepreneurial bug?
I got bit when facing the idea of having to go back to work outside of our home and having to put my 3 kids in daycare. I wanted to stay home with them and be able to generate an income with my own hours as my own boss.

What is your biggest success up until now?
My biggest success thus far is my growing team of amazing ladies!

What has been your biggest challenge?
My biggest struggle is time management. I feel like I always have some obstacle or sudden interruption that takes me off course. Don't get me wrong I love being at home but no one seems to understand that I am trying to work.
A true challenge for those working from home.

Any funny stories you want to share so other ladies don't feel like it only happens to them?
It is advice and a funny story in one. Always wear matching socks and bring comfortable shoes when having to stand at an event or work for a long period of time. Because when you just can't take the high heeled boots anymore and you must take your shoes off, unmatched multi colored socks can be a little embarrassing to walk around in.
Hahaha!  Matching socks.

If money was no object, what would you do all day?
Most days you could find me in and around the pool with my family! Probably travel to every awesome water park and pool in the world. Or boating. We are a water family!

If you could be a superhero, what power would you possess?
The ability to duplicate myself but at the end of the day have all the experiences and feelings in my main self. Wait is that actually 2 super powers? LOL

What about being an entrepreneur do you love?
The ability to be my own boss!

What is your why?
My Why is my team! They keep me going every day. Those winters you have once in a while in your business, those are the times I look at my team and say I must keep going as their leader.

What value does your business bring to your life?
Fulfilling my need of helping others and giving of myself.

Facebook it can be a blessing and a curse.

What is your best time management tip?
I don't have one, haha, this is an area I need work on.

Meet my organizing bestie ... my label maker!

Wassup systematicYOU TRIBE!?

Growing up my Mami always said "Put it back where it belongs".  #sideyes

Which meant "it" had a specific location assigned for it within our home.  Because of my upbringing plus a tour duty as a Marine, having my things in its rightful place is second nature and logical for me. Now add to that my OCPD and my BFF, the label maker, and oh boy ... not only do things have a spot, they have a beautiful little label to say just where it belongs!!  In the event, I or anyone in my household decides to forget.
Yup. I gracefully dance around my home like Snow White in the dwarf's home with my label maker in hand signing lovely songs to it.  Now you do not have to be nuts like me, dancing with your machine, but you can use labels to help you and yours put it back where it belongs.


Use labels for areas such as:
  • Pantries
  • Linen closets
  • Toy bins
  • Office supply storage
  • Crafting supplies
  • Children's closets
  • Files


Because labeling is a GREAT way to see that something is out of place or if you ran out of a specific supply.  

Now what labels will you use?  Ooooh.  The possibilities!  There are:
  • Label makers like P-Touch
  • Dyno label makers (Yeah!  Let's take it back old school)
  • Avery labels that you can write it out or go to the Avery website and download the template and create them on your computer
  • Chalk labels
  • Craft tags
  • Chalk labels on craft tags
  • And on and on and on!

Interview with Sara Lopez

Sara Lopez is one of those kind of peeps that you feel like you just know forever.  I met her as a fellow vendor two years ago.  She was in green and I was in teal.  She openly gave advice and shared her laugh.  Since our first meetup she has shifted her focus and now she helps women entrepreneurs get the word out about their business using an affordable marketing technique that ladies love to get … a swag bag.  So read on and get your swag on with Sara.
           
  
  
Let’s get to know a little about Sara’s business!

What is the name of your business?
Biz in the Bag
DBA: Simple Solutions by Sara

What product and/or service do you provide?
We provide the opportunity for you to market your biz thru swag bag advertising, as well as providing SWAG for events.

When did your business start?
Originally in 2008. But as a true business venture in 2013.

Where is your business located?
We are in Hypoluxo, FL (South of WPB/ north of Delray).

What territory does your business serve?
Primarily SE Fl. This includes Cocoa Beach south to Miami and west to the Glades.  We do ship out of state as well.
Wow ladies!  A great way to cover lots of territory!

Who does your business serve?
Any business wanting to expand its marketing territory. Stay at home moms who cannot get out and spend the time and money on events. Table costs and sitter fees take a chunk out of any sales.
We also assist the event coordinators who need to delegate, as well as local services wishing to have a nice give away.
I know a few like that … oh wait … ME!!

What need does your product or service fulfill for your customers?
At the vendor level, it is an inexpensive way to market en mass. No table cost, no tents, no time away from family on weekends.
At the Event level, it saves a huge amount of time for the coordinator.  This service lets them concentrate on other things.
At the consumer level, a nice take home bag filled with great offers and discounts as well as samples.

What DIY tip about your product or service can you share with MY TRIBE?
When advertising your biz, plzzzzzzzzzzz make sure your business card can be read easily. Use 12pt type, block style, less is more...name/product/phone/website. When participating in swag bags think about a fun way to get a customer’s attention. Attach a raffle ticket onto your biz card that says you’re a winner call.

One more tip for Sara … A MUST READ!
Do your research … with anyone you deal with. Ask questions before you give them money. I have a list posted on my FB page. Unfortunately there are those that look for a quick way to get your money into their pocket. That applies to swag as well. If they never post a picture of the event, no links to the event itself (so you can call and verify) no other types of social media activity....beware...

Let’s get to know a little about Miss Sara herself!

Who is in your support system?
My husband and close friends.

How did you get bitten by the entrepreneurial bug?
My parents had their own biz and always encouraged me to be independent.

What is your biggest success up until now?
Growing the biz from 100 bags a month to over 1500 a month.

What has been your biggest challenge?
Truthfully, small businesses. Trying to teach that you must market outside your family and friends to grow. It does NOT have to be costly...I post ways to market on the cheap. I see vendors spend $300 or more for an event table, take a few names for a giveaway (another cost) and wonder why they can't get out of the red.  They could spend ½ that on swag and reach 1000's of potential customers.

Any funny stories you want to share so other ladies don't feel like it only happens to them?
Over estimating my ability to multi task! Especially with an at home biz.  Never start dinner, run upstairs to bag a few, switch wet clothes to dryer (forgot them earlier) ooppsss sheets in dryer need folding first … ok, crap … dinner!!!

You're a new addition to the crayon box, what color would you be and why?
Clear sparkles...it goes with everything!

Where do you most want to travel, but have never been?
Ireland and Spain.

What about being an entrepreneur do you love?
My hours to be flexible. Networking, going to events and meeting amazing people with amazing stories.

What is your why?
Retirement income.

What value does your business bring to your life?
Staying active and social.

Sara wanted to make sure you get these two messages …
FIRST!
You cannot do it all...plan, plot, list build and delegate.  My biggest lesson...don't be afraid to ask.  Kids can help more than you think, honey do lists really exist and friends are usually willing to pitch in.
SECOND!
Listen for what people want. That's how I started this. Being at events hearing vendors “complain” about high table fee's, babysitter cost, unhappy husband syndrome, different tents needed, packing and unpacking product, RAIN, heat, etc....so for a small fee want me to do it for you?
Event peeps being unhappy with swag vendors: being late with payments, product and deliver of goods....so for a small fee I will do that for you....
Opportunity is there, listen for it. If it was easy, everyone would be a millionaire.
Hard work, some well-deserved tears and if no one else does, Pat yourself on the back when you accomplish a task.

Old school calendar and composition books.

What is your favorite gadget or app that others entrepreneurs might want to check out?
Timer (Pinterest hole, fb and even bagging swag) I lost too much time and rely on it to keep me on track.

What social media forum has been most successful for your business?
Facebook groups.

What is your best time management tip?
If something is just not working...STOP. Either try later, rethink process or ask for help!

What are the biggest time wasters we entrepreneurs get caught up in?
Over thinking the task...just do it. Tweak rough spots as you go...

How do you continue to meet new clients?
I personally network. A Lot!!  2nd Biggie....ask for referrals!!!!

Any tips you'd like to share about networking?
If you’re not comfortable, take a friend. Do not walk up to someone and stick a biz card in their hand and just be your fun self...the more you do the easier it gets.
I also know that not everyone can or wants to do this. I offer an opportunity to have us market for you at the networkers in your area or out. I present your biz card, sample or gift certificate along with mine as I introduce the biz. It helps identify what we do as well as gets your information out as well.

Don't give up. Don't get stuck in a rut. If your 3 minute elevator speech needs works...change it...practice it, try it out.
Same with biz cards and advertising...keep your branding consistent but still mix it up with promo offers, try QR codes yet? How about keeping a really accurate record of what works....
Anytime you think a negative sentence, ”I can't afford that” replace it with “What do I have to sell so I can afford that”
